MyOffice Mail Mobile Application. Privacy policy.

This Privacy Policy (the “Policy”) informs persons having contractual or other civil relations (“You”) with New Cloud Technologies Ltd. (the “Company”) in connection with the use of MyOffice Mail Mobile Application (the “Mobile Application”) about the types, categories and purposes of processing Your data, the processing of which is regulated by applicable law, and which the Company and/or third parties may obtain when You use the Mobile Application.

1. General Provisions

  • Mobile Application user credentials
  • Data about the device on which You are using the Mobile Application
  • Mobile Application crash reports
  • Mobile Application usage reports
  • Other data

1.2. Categories of Entities Whose Data Are Processed


Persons who have contractual or other civil law relations with the Company in connection with the use of the Mobile application.

1.3. Data Processing Purposes

  • Ensuring stable operation of the Mobile Application.
  • Sending notifications about new messages.
  • Detecting and correcting bugs in the Mobile Application.

2. Applicable Legal Basis


The legal basis for data processing shall be set forth in the legal regulations applicable to such processing.
By using the Mobile Application, You agree that the Company may collect, store, use and process Your data in any other manner.

3. Changes to the Policy


This Policy may be unilaterally amended by the Company, including for purposes of adapting the Policy to changes in the legal regulations in accordance with applicable law.

4. Ensuring Information Security


During the processing of Your data, the Company ensures security at every stage of the life cycle of such data.

The following factors are taken into account when ensuring information security:
  • Current technological level.
  • Appropriateness of selecting and applying data protection measures.
  • Nature of the data being processed.
  • Categories and purposes of data processing.
  • Assessment of the harm that may be caused to the entities specified in Clause 1.2 of this Policy.

During the processing of data, the Company ensures the confidentiality, integrity, and availability of the data by taking the necessary organizational and technical measures to protect them from unauthorized or accidental access, destruction, modification, blocking, copying, sharing, distribution, as well as other illegal actions in relation to them.
The Company has developed and implemented processes to ensure compliance with the rights of subjects specified in Clause 1.2 of this Policy, as well as the detection of unauthorized access to Your data and taking measures, including measures to detect, prevent, and eliminate the consequences of computer attacks on personal data information systems and to respond to computer incidents in them.

5. Data Processing


When using the Contact developers feature of the Mobile Application, the following information will be sent to the Company upon the user's consent:
  • Log file of the Mobile application which includes technical information the connections made by the Mobile Application, their parameters, the volume, and the result of information transfer.
  • File containing information about the Mobile Application, which includes:
    • Build type, version
    • Mobile Application instance ID
    • Information about the user's consent to send information to third parties, including the Company
    • Mobile Application window parameters: width, height, coordinates
    • List of user profiles (email accounts), including the following information:
      • Email address
      • Information about the configured profile synchronization interval
      • Username
      • URI of the connection to the server
      • List of profile mail folders, for each of them: flags, folder ID, folder name, relative path, total number of emails, number of unread emails
  • User device information file:
    • Display characteristics: available width/height, actual width/height, number of logical/physical dots per inch, display name and orientation, pixel density, refresh rate
    • Information about the operating system: architecture, core version, localization, name, version, type
    • Mobile Application instance ID

When You use the Mobile Application, the external services listed in Section 6 of this Policy are used for the purpose of detecting and correcting bugs in the Mobile Application, as well as for the purpose of sending notifications.

6. Transfer of Data to Third Parties


In order to analyze the use, optimize the program code, detect and correct errors in the Mobile Application, as well as to send notifications, information containing Your data may be transferred to the following third-party services:
  • Firebase Crashlytics;
  • Firebase Cloud Messaging;
  • Apple Push Notification Service;
  • Huawei Push Kit.

If You download the Mobile Application from the Google Play app store, information containing Your data may be transferred to the following services::
  • Firebase Crashlytics;
  • Firebase Cloud Messaging.

If You download the Mobile Application from the Apple App Store, information containing Your data may be transferred to the following services:
  • Firebase Crashlytics;
  • Apple Push Notification Service.

If You download the Mobile Application from the HUAWEI AppGallery, information containing Your data may be transferred to the following services:
  • Firebase Crashlytics;
  • Huawei Push Kit.

6.1. Firebase Crashlytics


The use of the Firebase Crashlytics service is necessary to get information about crashes and other malfunctions when using the Mobile Application.

The following information may be transferred to Firebase Crashlytics when the Mobile Application crashes or malfunctions:
  • Information about the device on which the Mobile Application is used, such as: anonymous ID, device model and type, operating system version and name, device settings, including language settings
  • Date and time of the crash, technical information about the crash
  • Mobile Application version

The information transferred to the Firebase Crashlytics service is not additionally stored and not transferred to other services. You can disable the transfer of the information mentioned in this Clause in the Mobile Application settings.

6.2. Firebase Cloud Messaging


The use of the Firebase Cloud Messaging service is necessary to deliver notifications to You about the new available messages addressed to You.

The following information may be transferred to Firebase Cloud Messaging:
  • Information about the author of the email: their avatar ID in the system, his First name, Last name and email
  • Information about the email You received: the subject of the letter, the part of its body, the name of the folder in which it was received, the date of receipt
  • Anonymous Mobile Application ID

The information transferred to the Firebase Cloud Messaging service is not additionally stored and not transferred to other services. You can disable the transfer of the information mentioned in this Clause in the Mobile Application settings.

6.3. Apple Push Notification Service


The use of the Apple Push Notification Service is necessary to deliver notifications to You about the new available messages addressed to You.

The following information may be transferred to the Apple Push Notification Service:
  • Information about the author of the email: their avatar ID in the system, his First name, Last name and email
  • Information about the email You received: the subject of the letter, the part of its body, the name of the folder in which it was received, the date of receipt
  • Anonymous Mobile Application ID

The use of the Huawei Push Kit service is necessary to deliver notifications to You about the new available messages addressed to You.
The following information may be transferred to the Huawei Push Kit service:

  • Information about the email You received: the subject of the letter, the part of its body, the name of the folder in which it was received, the date of receipt
  • Anonymous Mobile Application ID

7. Data Processing Timeframes


The Company processes your data solely for the period necessary to achieve the purposes specified herein.

Once these purposes have been achieved, Your data will be deleted.

8. Your Rights


You are not required to consent to the transfer of Your data to the Company and/or third parties. In this case, the Mobile Application cannot be used.

You are entitled to withdraw Your consent to the processing of Your data at any time, without affecting the lawfulness of the processing carried out before the withdrawal of consent. In this case, the Mobile Application cannot be used.
